Mills College is a nationally known, independent, liberal arts college for women with graduate programs for women and men. Located on 135 wooded acres in the Oakland foothills, the College has an enrollment of 926 undergraduate women and 584 graduate men and women.

The Office of Institutional Advancement (OIA) is responsible for the identification, cultivation, solicitation and stewardship of donors that support the strategic initiatives of Mills College. The strategic initiatives include supporting student scholarships, maintaining preeminence in the arts, encouraging leadership for women in the professions, as well as advancing women in science, technology and research. OIA consists of individual giving programs such as annual, major, and planned gifts as well as foundation and corporate giving. Gift processing and donor relations are also a part of OIA.

POSITION OVERVIEW

With direction from the Assistant Vice President of Development, and in coordination with another gift officer, the Planned Giving Officer (PGO) is responsible for managing and growing the College's comprehensive planned giving program. The PGO is charged with focusing on field work and on developing relationships with donors and prospects, while juggling significant internal responsibilities such as marketing and estate administration.

REPORTING RELATIONSHIPS

The position reports to the Assistant Vice President for Development. The position does not supervise any staff, but shares an administrative assistant.

RESPONSIBILITIES

* Secure planned gifts of all types for the College.
* Grow and manage a portfolio of 150+ prospects and donors, including a solicitation plan for each prospect.
* Maintain a very active calendar of travel and local visits to identify, cultivate, solicit and steward prospects and donors.
* Train all development officers on planned giving and coordinate so that staff in major, annual and reunion giving present their donors with planned giving options.
* Create and present proposals that are tailored to prospects' individual interests and financial circumstances; negotiate with prospects and their legal and financial advisors.
* Partner with OIA's communications team and other planned giving staff to create and implement a marketing plan that includes print and online materials, mailings and events. 
* Develop and implement an ambitious multi-year campaign to increase the number of known bequest intentions.
* Design meaningful stewardship and engagement opportunities for top donors, including members of the Aurelia Henry Reinhart planned gift society.
* Mobilize trustees, other lead volunteers and College Officers to help with planned gift program. 
* Partner with OIA's research team to identify new prospects for planned giving; follow up with new leads in a timely manner.
* Review technical and legal aspects of all pledge, gift and grant agreements, including those generated by staff in major, corporate and foundation giving. Develop and update forms and documents related to gift planning.
* Coordinate with the College's legal and financial offices; ensure that OIA complies with best practices and regulations related to gift planning.
* Monitor investment performance of trusts and annuities and manage the activities of outside administrators and consultants.
* Administer pending bequests from estates and trusts to ensure timely and accurate distributions. 
* Analyzing and present data on the planned giving program to inform strategic planning.
* Maintain the database, hard files and all relevant systems.
* Participate in OIA and College activities such as reunion and other events.
* Perform other duties as assigned.

REQUIRED SKILLS, KNOWLEDGE AND ABILITIES

* Minimum of five years experience in estate planning or planned giving
* Formal training in charitable gift and estate planning; experience working with a variety of gift vehicles
* Excellent written and oral communication and interpersonal skills
* Excellent analytical and reasoning skills; great attention to detail
* Ability to juggle multiple priorities and deadlines
* Tenacious and entrepreneurial approach to fundraising
* Ability to establish and maintain effective and productive working relationships within a diverse and multicultural environment
* Bachelor's degree

PREFERRED SKILLS, KNOWLEDGE AND ABILITIES

* Law or related degree
* Experience in higher education
